BYLAWS


A. MEMBERSHIP

Student membership is reserved for students in Exercise Physiology, Exercise Science or Exercise Technology. Students are required to be registered members of the American Society of Exercise Physiologists at the national level. Professional members must hold a degree (or an academic emphasis) in exercise physiology, exercise science or exercise technology and/or be working in the field of exercise within the community. Professional members must also members of the American Society of Exercise Physiologists (ASEP). Chapter membership applications must be accompanied by proof of ASEP membership. Seventy five percent of all chapter members must be students at the College or University. All members are expected to adhere to the ASEP Code of Ethics.

Violation of the Code of Ethics may result in expulsion from the student chapter. Determination of violation of the Code of Ethics by a member will be by consensus of the student chapter executive board and faculty advisor. Members may resign at any time by submitting a written resignation to the executive board. Dues will not be returned once paid.

Neither membership in, nor services provided by the student organization, will be denied to anyone on the basis of race, color, religion, national origin, physical or mental handicap, age, sex, sexual preference, ancestry, or medical condition.

B. DUES

Dues will be $10.00 / year and payable in October of each year. The amount of yearly dues and any special fees will be voted on by members prior to implementation. The use of any funds, either from membership fees and/or generated through fund raising, must be approved by a member vote. Dues will be collected by the treasurer and deposited into an approved university account.

C. EXECUTIVE BOARD

The executive board consists of the President, Vice-President, Secretary, and Treasurer. All officers must be registered students at the College/University. All executive board members are expected to adhere to the ASEP Code of Ethics. All action taken by members should be characterized by fairness and good faith. Any officer may be removed from office by a 2/3 vote of members. Officers may resign at any time by submitting a written resignation to the executive board. In the case of removal or written resignation by an officer, a special meeting will be held and election of a new officer will take place.

D. RESPONSIBILITIES OF OFFICERS

Duties include but not limited to the following:

President
*Maintain official recognition of the student organization by the College/University through proper maintenance of records, forms, and books.
* Ensure that the student organization be in compliance with College/University Policies, regulations, and civil laws at all times.
* Role of residing officer at meetings.
* Recruitment of new members.
* Oversee actions of committees.
* Public Affairs.
* Communicate and obtain approval of Chapter activities from the faculty advisor and the American Society of Exercise Physiologists.

Vice-President
* Aid the president in the following:
1) overseeing the actions of committees,
2) recruitment of new members, and
3) public affairs
* Planning of regular meetings, including acquiring speakers for meetings and posting/publicity of meetings.

Secretary
* Maintain minutes from each meetings.
* Maintain records of all chapter activities.
* Maintain Chapter By Laws / Constitution and any revisions and amendments.
* Mail box duty.
* Assist vice-president with postings and publicity materials.

Treasurer
* Serve on finance/fund raising committee.
* Collect membership dues and maintain university account.
* Ensure communication and compliance with the Student Government Accounting Office.
* Submit funding requests (e.g., ASUNM, GPSA, SRAC).

E. COMMITTEES

Standing committees and associated responsibilities consist of the following:

1. Fund Raising Committee Duties include:
* Submittal of funding requests (e.g., ASUNM, GPSA, SRAC).
* Dissemination of information to members regarding student funding opportunities.
* Projection of future financial needs of Chapter and generating a plan of action to meet those needs.
* Organizing fund raising activities.

2. Annual Meeting Committee Duties include:
* Organization of ceremony/presentation in which new officers will take office and previous executive board will be adjourned.
* Assist faculty members in organization of annual meeting duties assigned to the College/University.
* Assist regional/national level officers in organization of student forum at annual meeting.
* Disseminate information to members regarding annual meeting and abstract deadlines.
* Assemble and organize practice session for students to rehearse presenting submitted abstracts.

3. Resource Networking Committee Duties include:
* In alliance with webpage committee, develop resource handbook (professional and student listings, local job opportunities, field experience opportunities, etc.).
* Communicate with professional members in community regarding worksite needs and issues.

4. Webpage Committee Duties include:
* Develop and maintain both regional (e.g., Pacific / Mountain Society) and College/University Student Chapter ASEP website.
* In alliance with networking committee, develop on-line resource guide for Chapter.
* Develop and maintain email and listserve function to disseminate information to Chapter members on a regular basis.

5. Legislative Committee Duties include:
* In alliance with the annual meeting committee, unify and voice the opinions and concerns of students.
* To participate in, and to aid the American Society of Exercise Physiologists, in the development and implementation of public policies and procedures concerning exercise physiology, especially at the state level.

Committee membership shall consist of no less than 3 members. Chapter members may serve on no more than 2 committees at one time. Committee seats are open to any interested members. Committe chairs will be appointed during the Chapters first year of operation. Thereafter, committee members will elect committee chairs through majority vote. Committee members may remove themselves from a committee and any time by submitting a written resignation. Committees may be formed or dissolved by motioning such an action at a Chapter meeting. Such motions will be voted upon by Chapter members. Committees will provide updates at Chapter meetings concerning progress of committee activities.

F. RESPONSIBILITIES OF ADVISOR

The advisor will provide guidance and oversee the activities of the student Chapter.

G. ELECTIONS

Officers will be appointed for the first year of the Chapters operation under the supervision of the faculty advisor. Thereafter, officers will be elected by a majority vote on a yearly basis. Elections will take place during the September meeting and those elected will take office at the annual ASEP meeting held in October.

No more than two consecutive terms may be served by an individual in a particular office. All interested student members of the Chapter are eligible to run for office. All officers must be registered UNM students. Interested individuals may be self nominated or nominated by other members.

Any officer and/or committee chair may be removed from office due to violation of the Code of Ethics as decided by a 2/3 vote of members. An individual may petition the removal by submitting an appeal to the executive board. Officers may resign at any time by submitting a written resignation to the executive board. In the case of removal or written resignation by an officer, a special meeting will be held and election of a new officer will take place.

H. PARLIAMENTARY AUTHORITY

The parliamentary authority used will be Robert's Rule of Order - Newly Revised.

J. AMENDMENTS

Amendments may be proposed at any regular chapter meeting without prior notice by following proper parliamentary procedures. However, a motion to delay the vote on an amendment may be made if the majority present feel that more time is needed to decide on an amendment.

K. AMERICAN SOCIETY OF EXERCISE PHYSIOLOGISTS

The University of (e.g., New Mexico) Student Chapter of ASEP represents a student chapter of the national society and is therefore bound to the charter of ASEP. No action or movement may be taken by the Student Chapter, using the name of the American Society of Exercise Physiologists, without prior approval from the national organization.
